SentRules Privacy Policy

SentRules is a hosted service for Microsoft Outlook that automatically files sent-message copies according to rules you create, provides a web-based rule-management control panel, and can preview and move existing Sent Items when you explicitly run cleanup. An Outlook add-in may provide a convenient shortcut to the same control panel, but it is not required for background filing.
Information SentRules processes
When you connect Microsoft Outlook, SentRules may process your Microsoft account identifier and email address, Outlook folder names and identifiers, message identifiers, recipient addresses, subject lines, and other message metadata needed to evaluate and carry out your filing rules. Message content is processed only when required by a feature you explicitly invoke. Saved rules contain the recipient or domain match and the selected destination folder identity.
SentRules uses short-lived operational state and journals to prevent duplicate actions, confirm completed work, and safely resume interrupted operations. Diagnostic reports can include message subjects, matched addresses, folder paths, and action results when you explicitly generate or export a report.
Microsoft access
SentRules uses Microsoft identity services and Microsoft Graph. The web-first production service requests delegated access needed to identify the connected account, read sent-message metadata, and move sent-message copies between Outlook folders. Production permissions include User.Read, Mail.Read, and Mail.ReadWrite. SentRules' production background-filing workflow does not request Mail.Send and does not send mail on your behalf. You continue to use Outlook's normal Send button.
Production Microsoft authentication cache data is encrypted at rest using AES-256-GCM with an operator-controlled encryption key. SentRules does not ask you for or store your Microsoft password.
Billing
If paid access is enabled, checkout and payment processing are handled by Stripe. SentRules may send your connected account email address to Stripe to prefill checkout. SentRules stores a one-way keyed hash of the Microsoft account identity together with Stripe customer or subscription identifiers and subscription status. SentRules does not receive or store full payment-card numbers.
How information is used
SentRules uses account, mailbox, rule, and operational information only to provide the service, authenticate your connection, evaluate and perform filing actions you configured, support billing, prevent duplicate operations, diagnose failures, and provide customer support.
Sale and advertising
SentRules does not sell personal information or message content to advertisers or data brokers, and does not use message content for advertising.
Retention and deletion
Microsoft connection state is retained only while needed to keep the service connected and may expire after extended inactivity. Saved rules remain until you delete them or request account-data deletion. Operational records are retained only as long as needed to complete, verify, or safely recover an operation. Billing records may be retained as required to administer subscriptions and meet legal or accounting obligations.
You may request deletion of SentRules account-specific service data by contacting john@revivedrones.com. SentRules will verify the request before deleting data that can reasonably be associated with the requesting account, subject to records that must be retained for legal, security, fraud-prevention, or accounting purposes.
Security
Production traffic uses HTTPS. SentRules is designed to fail closed when rule, authentication, destination, or operational state cannot be safely resolved rather than silently guessing or overwriting customer state.
Third-party services
SentRules depends on Microsoft services for authentication and Outlook access and on Stripe when paid billing is enabled. Those providers process information under their own terms and privacy policies.
